Invoice import via email

Old Olympus typewriter with paper: Send a Mail

In this article, you'll learn about a new feature that will significantly simplify your use of the apocha expense tracker app. From now on, it's possible to easily and conveniently import your receipts via email into your expense tracker.

Automatically import digital receipts via email into your expense tracker - Benefits & Features

Collecting, sorting, and entering receipts is often complicated and time-consuming. Have you ever been overwhelmed by the flood of digital receipts, invoices, and documents that land in your email inbox? Everything is scattered throughout your inbox: digital grocery receipts, email invoices from Apple Music, orders from Amazon and other online retailers.

Additionally, more and more digital receipts are isolated in the apps from other brick-and-mortar retailers. It's difficult to keep track of everything.

Fortunately, apocha, your expense tracker app, has the solution ready. You can now simply forward all these documents via email to apocha and manage and analyze them in your expense tracker.

Step-by-Step Guide: Setting up email import in apocha

First, you select a username in the app. From this, we create your personal @apocha.app email address, which is used for importing your receipts. From now on, you can simply send your receipts, invoices, and documents to this email address.

This is particularly easy with receipts that you already receive via email and can simply forward. These include, for example, digital receipts from Walmart and Kroger, order confirmations from Amazon, as well as invoices from all other online shops.

To ensure the security of your data and avoid spam, you can (and should) also specify one or more email addresses from which receipts can be imported. Only receipts from these approved senders will be imported into the app. All others will be ignored to ensure your privacy and protect your entries from spam.

Important: Please note that receipts from all senders will be imported if you leave the "Import emails only from" field empty. Then anyone who knows your apocha.app email can send receipts to your expense tracker.

Benefits of email import for your digital expense tracker

The benefits are clear: You save time and effort, and your expense tracker becomes more precise and complete because fewer receipts are missing. Instead of laboriously downloading a digital invoice and then uploading it again in the apocha expense tracker app, you can forward it directly via email to your expense tracker and efficiently process it in the app.

And with the additional security feature, we ensure that your expense tracker is protected from spam.

This function is particularly useful if you set up automatic forwarding for your emails with receipts. If you have subscribed to Apple TV+ or Apple Music, for example, you can set up automatic forwarding for all emails that come from the sender no_reply@email.apple.com and have the subject "Your invoice from Apple". As soon as you receive the digital receipt via email it will be automatically forwarded to and imported into your apocha expense tracker.

Important: The email address no_reply@email.apple.com must then also be in the list of allowed sender emails.

We've written about how to set up such automatic forwarding for digital receipts in other blog posts:

We already use the function ourselves daily for our digital order confirmations from amazon and our email invoices from Apple Music, Apple TV+, and the Apple App-Store. The automatic processing not only saves time but also makes expense tracking more precise and reliable.

Tip

It's best to set up automatic forwarding for your most frequent digital receipts right away. This way, all receipts and invoices automatically end up in your apocha expense tracker.
