Managing Multiple Receipts at Once

When you need to update several receipts - like adding tags to all business expenses or changing the category for a batch of imports - bulk operations save you from tedious one-by-one editing.

Selecting Multiple Receipts

Using Checkboxes

  1. Hover over any receipt to reveal the checkbox
  2. Click to select
  3. Repeat for additional receipts

Select All

Click the checkbox in the header row to select all visible receipts. If you have filters active, only filtered receipts are selected.

Range Selection

Hold Shift while clicking to select a range of receipts between your first and last click.

The Bulk Action Toolbar

When you have receipts selected, a toolbar appears with available actions:

Bulk Edit

Change common fields across all selected receipts:

Smart Category Assignment

When you bulk-assign a category:

  • Multi-item receipts: Category is set at the receipt level (default category)
  • Single-item receipts: Category is assigned directly to the line item

This prevents over-categorization and keeps your data clean.

Adding Tags

Assign one or more tags to all selected receipts:

  1. Click "Add Tags"
  2. Select tags from the dropdown
  3. Click Apply

Tags are additive - existing tags on receipts are preserved.

Removing Tags

To remove tags:

  1. Click "Edit Tags" (or similar)
  2. Uncheck tags to remove
  3. Apply changes

Deleting Receipts

Remove multiple receipts at once:

  1. Select the receipts to delete
  2. Click Delete
  3. Confirm in the dialog
This Cannot Be Undone

Deleted receipts are permanently removed along with their line items and attached images. Double-check your selection before confirming.

Context Menu Actions

Right-click on selected receipts for a context menu with additional options:

Common Bulk Operation Scenarios

Tagging All Business Expenses

  1. Use search: client meeting OR conference OR business lunch
  2. Select all results
  3. Add tag: Business

Fixing Imported Store Names

Sometimes imports create duplicate store names like "REWE City" and "REWE CITY":

  1. Search for the incorrect name
  2. Select all matching receipts
  3. Bulk edit > Store Name > Enter correct name
  4. Apply

Categorizing Uncategorized Receipts

  1. Filter by "No category" (in advanced filters)
  2. Group similar receipts by selecting them
  3. Bulk edit to assign appropriate category
  4. Repeat for different groups

Preparing Tax Documents

  1. Filter by date range (tax year)
  2. Add filter: Category contains "Business"
  3. Select all
  4. Add tag: Tax 2024
  5. Export to Excel for your accountant

Tips for Efficient Bulk Operations

Combine Search and Filters

Use search to narrow down, then filters to fine-tune. This makes selecting the right receipts easier.

Work in Batches

If you're recategorizing many receipts, work category by category rather than trying to do everything at once.

Use Tags for Workflow

Create tags like "Needs Review" or "Pending" to track which receipts you've processed.

Check the Count

Always verify the selection count before applying bulk operations. "47 selected" when you expected 5 means something's off.

Limitations

Some operations can't be done in bulk:

  • Editing line items (each receipt's items are unique)
  • Changing transaction type (Expense to Transfer)
  • Modifying amounts
  • Editing dates

For these, you'll need to edit receipts individually.
