Understanding Receipt Details
When you click on a receipt in your list, you'll see everything Apocha knows about that transaction. This page explains what each section shows and how to make the most of the details view.
Overview
The receipt details page is divided into several sections, each providing different insights about your transaction.
The Header Section
At the top, you'll find the essential information:
| Field | Description |
|---|---|
| Store Name | The merchant or transaction partner |
| Amount | Total transaction amount |
| Date | When the purchase happened |
| Account | Which account was used |
| Type | Expense, Income, or Transfer |
Status Indicators
Receipts have different states:
- NEW - Recently imported, may need review
- VERIFIED - You've confirmed everything is correct
A badge shows the current status. You can change this in edit mode.
Line Items Section
This is where Apocha shines. Instead of just showing "Supermarket - €67.43", you see every item:
| Column | What It Shows |
|---|---|
| Item Name | Product description |
| Quantity | How many you bought |
| Unit Price | Price per item |
| Total | Quantity x Unit Price |
| Category | Assigned spending category |
Expanding Item Details
Click on any line item to see additional information (when available):
- GTIN/Barcode: Product identifier
- Description: Additional product details
- VAT Category: Tax rate applied
Store Information
When Apocha recognizes a store, you'll see its details:
- Store Name: Official merchant name
- Address: Full street address
- City & Postal Code: Location details
- Store Type: Category like Supermarket, Restaurant, Gas Station
Location Map
If location data is available, an interactive map shows where the purchase was made. This helps when:
- You're tracking vacation spending by location
- You want to remember which branch you visited
- You're verifying the receipt is legitimate
Category Breakdown
For receipts with multiple items, the category breakdown shows where your money went:
This hierarchical view helps you understand:
- How much went to each spending category
- The percentage breakdown of your purchase
- Which subcategories contributed most
Click on any category to see its subcategories. This mirrors how categories work throughout Apocha.
Viewing Receipt Images
If you uploaded or scanned a receipt, the image appears in a dedicated section:
- Zoom in on details
- Multiple pages supported (for long receipts)
- PDF receipts render as images
Tags
Tags you've assigned appear as colored badges:
Tags are useful for:
- Marking business expenses
- Flagging tax-relevant purchases
- Creating custom groupings
Actions Menu
The action menu (three dots or gear icon) gives you quick access to:
| Action | What It Does |
|---|---|
| Edit | Open the receipt editor |
| Copy | Create a duplicate receipt |
| Delete | Remove the receipt |
| Create Recurring | Set up a recurring transaction based on this receipt |
Understanding Transfer Receipts
Transfer receipts look slightly different because they involve two accounts:
| Field | Description |
|---|---|
| Source Account | Where money came from |
| Target Account | Where money went to |
| Amount | How much was transferred |
Transfers don't have categories since they're moving money, not spending it.
Multi-Currency Receipts
When a receipt currency differs from your account currency, additional fields appear:
| Field | Description |
|---|---|
| Receipt Currency | Original transaction currency (e.g., USD) |
| Receipt Amount | Amount in original currency |
| Debit Currency | Your account's currency (e.g., EUR) |
| Debit Amount | Actual amount debited |
| Exchange Rate | Calculated from the two amounts |
Apocha doesn't store exchange rates directly. Instead, it calculates the effective rate from the original and debit amounts. This matches how your bank processes the transaction.
Tips for Using Receipt Details
- Verify after import: Check that line items and categories are correct
- Use the map: Great for remembering where you shopped during trips
- Check the breakdown: Category totals help catch miscategorized items
- Review multi-currency: Ensure exchange rates look reasonable
